As a Sales Outreach and Hubspot Coordinator, you’ll own the behind-the-scenes engine that keeps deals moving forward.

You’ll lead follow-ups, maintain CRM hygiene, nurture prospect relationships, and free up founder time so the team can close more, faster.

Core Tasks

Client & Deal Flow Coordination

  • Join prospect and client calls, use AI notetakers to summarize key points.
  • Log tasks, notes, and contacts in HubSpot within 2 hours after a call.
  • Run consistent follow-up cadences via email, phone, and LinkedIn.

SOW/RFP Coordination

  • Draft and manage SOWs/RFPs, ensuring documents move smoothly to signature.
  • Coordinate with internal teams to hit client deadlines and prevent bottlenecks.

Front‑of‑Funnel Outreach (Light BDR Work)

  • Execute automated outreach campaigns with just enough personalization to spark interest.
  • Book qualified discovery calls that set up the team to win.

Streamline Process & Reporting

  • Keep the pipeline clean and organized.
  • Highlight stuck deals and follow-ups at risk.
  • Run win/loss and follow-up analysis/feedback each quarter to improve how the team sells. 

Must Haves

  • Experience in Sales Coordination or Sales Ops, ideally in fast-paced B2B tech or consulting.
  • Experience adapting SOPs, workflows, or playbooks for scalability. 
  • Experience in HubSpot (primarily the Sales Hub) & workflow management. 
  • Proficiency in LinkedIn Outreach and enrichment tools such as Apollo or LinkedIn Sales Navigator
  • AI-enthusiasm & literacy in navigating automation tools effectively (i.e., ChatGPT, Zapier, HubSpot workflows, etc.), 
  • Exceptional communication skills, both written and verbal. 
  • Google Workspace & Slack fluency
  • Strong attention to detail & organizational skills
  • Experience working with or at fast-growing start-ups or consultancies, with a proven ability to take initiative & navigate ambiguity. 

Metrics/KPI’s

  • Meetings Booked: 10 meetings are booked per week 
  • Deals move faster: 80% of opportunities advance to the next stage within 3–5 days
  • Follow-through is sharp: 90% of action items completed within 24–48 hours
  • Everyone has visibility: Weekly reports clearly flag stalled deals, next steps, and at-risk follow-ups
